This is an exciting opportunity to join a SaaS company rapidly building our US team. Located in centre city Philadelphia, one block from Jefferson station at 11th and Market, in cool offices with a start-up vibe – this is an opportunity to be our first team member in the First Impressions US team and help define our work environment. The First Impressions team are the first point of contact for our clients (Salon Owners) and will direct them to the appropriate person/team to get the queries resolved.
Phorest Salon Software powers almost 5,000 hair and beauty salons using our software in the US, UK, Ireland, Germany and Finland. You don’t have an ‘extra mile’ because you consider anything that can be done for a client (Salon owner) should never be referred to as ‘extra’. You are friendly, outgoing and genuinely care about assisting every client you come across on the phone.
You wear empathy and patience as a badge of honour. You have a sense of urgency when it comes to getting things done but you are ultra calm and patient with clients. You have great attention to detail, take pride in your work and you manage your time and tasks efficiently. You are not the type of person that needs to be asked twice! In fact, most of the time you have everything done in advance.
You are on top of everything. Always. Your communication skills need to be second to none as you will be our first Receptionist based in the US. Not only can you cope with the busy demands of a busy switchboard but you have the initiative and drive to keep yourself occupied during quieter periods.
You are flexible and you understand that working after hours, on the weekend or on a bank holiday is sometimes required to get the job done. This goes without saying: you’re renowned for reliability and a great work ethic.
You will report to the First Impressions Team Leader at our Headquarters based in Dublin, Ireland.
Responsibilities and Duties
What will determine your success in this job…
-Getting every call answered promptly. Voicemail is THE ENEMY!
-The ability to get the required information from clients to be able to direct calls to the correct teams first time around
-Being proactive in approaching the team lead with ideas or barriers. We are a team. We solve problems together
-Having a great can-do attitude and being a super-friendly but determined individual who gets through tasks super-fast but with a high level of quality
-Understanding that it is always about the client. Always!
-Being a team player. You get stuck in!
-An autonomous personality: Ability to work alone and take initiative to get the job done and work towards team success
-As the first Reception hire in the US, you will have the opportunity to impact the way we do business (getting the office set up with the correct processes, bringing new ideas to the table etc)
Experience and Skills
-Minimum of two years experience in a high call volume reception role
-Minimum of three years experience in a customer-facing role
-Experience in creating new customer service processes and executing customer service ideas
-Proficient with Microsoft Office
-Administrative or secretarial course is a bonus
-Being able to work independently, as well as collaboratively
-Be thorough, passionate about customer service, detail-oriented and self-motivate
– 22 days paid annual leave

Salary Range: $30-32k per annum
